Staffline is recruiting a Receptionist Administrator in Coventry.
This position is for maternity cover.
The rate of pay is £12.78 per hour.
This is a full-time role working fixed shifts and the hours of work are:
- 8am to 4pm
Your Time at Work
As a Receptionist Administrator you will be responsible for:
- Operating the main switchboard, directing telephone calls appropriately, and managing site access systems including CCTV monitoring, barriers and turnstiles.
- Welcoming visitors and contractors to the site, issuing and managing access control passes in accordance with site policies and procedures, including pass activation, access level amendments and system administration.
- Issuing identification passes to hygiene and catering support personnel in line with site requirements.
- Maintaining contractor records and databases to ensure site compliance requirements are met and accurate records are maintained.
- Providing relevant visitor and contractor information to support site access controls, planned visits and compliance requirements.
- Responsible for the receipt, distribution and dispatch of incoming and outgoing mail, parcels and pallets, including liaising with courier providers and arranging collections as required.
- Completing routine compliance audits to verify adherence to site procedures, security requirements and internal controls relating to visitor, contractor and access management processes.
- Supporting site security and access control systems by liaising with internal stakeholders and external service providers to resolve issues relating to barriers, turnstiles, access control and associated systems.
- Coordinating meeting room bookings and pool car administration, including vehicle bookings, fuel card replacements and arranging vehicle servicing and MOT requirements.
- Arranging taxi bookings and transportation requirements as requested by site personnel.
- Supporting emergency preparedness activities by providing site access and occupancy information during fire alarms, evacuations and other emergency situations.
- Undertaking ad hoc administrative duties as defined by the EHS Manager.
Our Perfect Worker
Our perfect worker will have the following skills:
- Proficient in the use of Microsoft Office applications, particularly Microsoft Excel.
- Working knowledge of site operations and plant functions to effectively direct visitors and contractors to the appropriate departments.
- Strong communication skills with the ability to engage professionally with employees, contractors, visitors and management at all levels of the organisation.
- Strong organisational and time management skills, with the ability to prioritise and manage workload effectively.
- Demonstrates a high standard of customer service, responding efficiently to immediate priorities while supporting colleagues and site requirements as needed.
Experience in a similar role is desirable, but not essential as full training is provided.
